Trip Management

Trip management with the cost and profit of every load

A trip in Gonyeti carries everything about a load: who it is for, what is carried, which horse, trailers and driver, which route and border, what it cost and what it earned.

What is trip management?

Trip management is the day-to-day control of loads: creating the trip, assigning resources, following it to delivery and closing it with its costs and revenue. It is the operational core of a transport management system.

Done well, it answers the question every transport owner asks: did that load make money?

The problem

Why trip profitability is usually a guess

Revenue known, costs not

The rate is on the order; the diesel, allowances, tolls and border costs are scattered across slips and claims.

Fuel not matched to trips

Fill-ups are recorded per truck, if at all, not per load.

Empty kilometres ignored

The empty leg to the next load costs fuel and time but is rarely charged to anything.

Shortage disputes

Loaded vs offloaded quantities are on separate documents, weakening claims against drivers or for allowable losses.

Status by phone

Knowing where loads are means calling drivers and controllers.

Late invoices

Delivered trips wait for paperwork before anyone invoices them.

How Gonyeti solves it

The trip is the record everything else attaches to

Controllers create the trip from the customer, route and cargo. Gonyeti calculates freight from the agreed rate and holds a separate transporter rate where the load is subcontracted.

Fuel orders, trip expenses and allowances are captured against the trip. On delivery, offloaded quantities are entered and Gonyeti compares them with the allowable loss. Turnover, cost of sales, gross profit and margin percentage are on the trip before it is invoiced.

  • Trip authorisation with approver recorded
  • Statuses with dates and descriptions
  • Trip documents attached to the trip
  • Starting and ending mileage and actual distance

Trip fuel
Fuel orders linked to the trip so fuel cost per load is known. See fuel management.
Profitability
Turnover, cost of sales, gross and net profit, and margin percentage per trip.

Customer, cargo, route and rate captured; freight calculated.

  2. 02

Horse, trailers and driver assigned; trip approved for dispatch.

  3. 03

    Run

Fuel and expenses booked; status updated through loading, transit and offloading.

  4. 04

    Close

Offloaded quantities, closing mileage and documents captured.

  5. 05

    Invoice

Trip invoiced; profit reported by customer, route and unit.

Why it matters

What trip-level control changes

Price loads properly

Real cost per trip on each route shows where rates are too low.

Spot loss-making customers

Profit by customer shows who is worth keeping on current terms.

Cash in sooner

Completed trips are visible and invoiced from the same record.

Hold drivers accountable

Fuel, expenses and shortages per trip are on record.

FAQs

Frequently asked questions

Can a trip use more than one trailer?
Yes. Trips record the horse and the trailers coupled to it, such as an interlink combination.
How does Gonyeti calculate freight?
Freight can be a flat rate, or calculated from the rate and weight, distance, or weight and distance. Liquid loads can be measured in litres at ambient temperature.
Can trips be in different currencies?
Yes. Rates and expenses carry their own currency and exchange rate.
Does trip management work with GPS tracking?
Where a tracking provider is integrated, positions and locations can be associated with trips. See vehicle tracking.
